Privacy

Your information, handled with care.

We keep this short and plain. This page explains what we collect when you register, join the waitlist, or sign up for email — and what we do (and don't do) with it.

What we collect

We only ask for what we need to run the event and stay in touch:

  • When you register: your name, email, phone number, the name you'd like on your badge, any dietary needs, an emergency contact, your t-shirt size, and how you heard about us.
  • When you join the waitlist: your name, email, phone number, and an optional note.
  • When you sign up for email: your email address and first name.

We do not store your card details. Payments are handled entirely by Stripe — your card information goes straight to them and never touches our servers.

How we use it

  • To register you, plan logistics, and run the event.
  • To process your payment and the final balance.
  • To send you the transactional email you'd expect — confirmations, reminders, and event details.
  • To send occasional updates about the Symposium if you've opted into our email list. You can unsubscribe anytime.

Who we share it with

We use a small set of trusted service providers to operate the site and the event. They only receive the information needed to do their part:

  • Stripe — payment processing.
  • Kit (ConvertKit) — our email list and updates.
  • Postmark — confirmation and reminder emails.
  • Cloudflare — hosting and privacy-friendly site analytics. Our analytics are cookieless and do not collect personal information — just aggregate counts like page views and where visitors come from.
  • Vimeo — private storage for any video you share through PhotoJAM.

We never sell your personal information.

Advertising

From time to time we may run ads to reach photographers who'd enjoy the Symposium. To do this, we may share a securely hashed version of your email address with advertising platforms such as Meta (Facebook and Instagram) so we can show relevant ads to our audience and to people like them. The hashing means the platform can match existing accounts without us handing over your email in readable form.

You can opt out anytime: unsubscribe from our email list, or adjust your ad preferences directly with the platform (for Meta, in your Facebook or Instagram ad settings). If you'd rather we exclude your email from this entirely, just email us at the address below.

Your choices

  • Unsubscribe from any marketing email using the link in it.
  • Ask us for a copy of the information we hold about you, or ask us to delete it — email us and we'll take care of it.

How long we keep it

We keep registration and waitlist records for as long as needed to run the event and meet our financial and legal obligations, then remove what we no longer need. Email subscribers stay on the list until they unsubscribe.

Changes to this policy

If we make a meaningful change, we'll update the date at the top of this page.
